SITUATION

Pure Zone had been looking for an online system that streamlined their business from their existing Shopify store, through to inventory, accounting and payroll.

Their existing server-based accounting and inventory platform had worked to-date, but with an increased focus on their online channels, there was a growing need to have an integrated system that minimised effort between inbound sales, fulfilment through to finances.

APPROACH

Working with the leadership team, we first defined the functional requirements ‘hit-list’ and confirmed the technical design of the solution, with the hypothesis that subscription-based products DEAR Systems and Xero Accounting would fit the bill and link to their existing website, which was managed using Shopify.

This was captured in our ‘requirements tracability’ document to prioritise business needs for configuration, as well as visualising the situation through architecture diagrams and process flows.

Using the technical design, we worked closely with Pure Zone to prototype and test DEAR and Xero, combining in-person and Zoom workshops to showcase how certain processes would work, and getting sign-off and documenting the approach for later team training.

Data migration was a considered effort, with the need to extract financial and non-financial data from legacy platforms and importing this as a starting point for DEAR Systems and Xero, especially aligning product codes with online channels, and preparing for go-live.

The last piece of the puzzle was to import open orders both on sales and purchasing fronts, to ensure continuity of customer experience during the cut-over period to the new systems.

OUTCOMES

After go-live and beyond, we maintained a level of customer care and ongoing support, where we moved from a ‘push’ model (driving the project) to a ‘pull’ model where our support is based on how the team is going and what further enablement training they need to support their role and day to day.

In the months post go-live, the team now spends far less time reconciling online orders with inventory levels, given their systems are integrated and processes are clear.

In addition, the nature of a project like this has improved awareness and alignment of SKUs and product families, which have been centralised into a single source of truth (DEAR Systems) for ongoing inventory levels and order management through several different order channels.

From an accounting perspective, the seamless integration to Xero has allowed for accurate financial handling and control of the inventory-side of the business finances.

Customers have benefitted through streamlined operations and management and staff are confident with systems that are online, modern, and easy to use from wherever they happen to be working from!
