How Apparatus Quo, SUMO and Virtual Assistants work together seamlessly using Asana

In today's business environment, remote work is more than just a trend, it's a strategic advantage. For many Australian businesses partnering with virtual assistants (VAs) globally, offshore hiring companies have proven to be an effective way to expand their team while maintaining efficiency. With the right blend of People, Process, and Platform, you can ensure that your onshore and offshore teams work together seamlessly. At the core of this collaboration is Asana, a powerful work management tool that helps individuals and teams keep track of tasks, delegate responsibilities, monitor progress, and communicate in real-time.

A Personal Story of Collaboration and Trust

My name is Rein, a VA from the Philippines, and I've had the pleasure of working with Josh, an Australian client, since 2021. Together, we have built a strong working relationship through Apparatus Quo's unique approach to remote work. Alongside me is Nix, another talented VA specialising in finance assistance, whose contributions have further strengthened our collaboration. We've developed open communication, gained access to invaluable training resources, and most importantly, established a workflow system that allows us to work in harmony, regardless of the distance. Our teamwork continues to grow, proving that trust, teamwork, and the right systems make all the difference.

Asana has been at the heart of this journey. With Asana’s help, we’ve been able to track projects, delegate tasks, and manage deadlines effectively. It’s given us a structure where both teams, onshore and offshore, are always aligned. Over time, our collaboration has flourished, creating a work relationship based on trust, transparency, and continuous improvement.

Today, I am part of SUMO (Set Up My Offshore), a highly skilled and collaborative offshore staffing company based in the Philippines that helps businesses connect with top-tier virtual assistants. The team at SUMO emphasises building strong, long-lasting client relationships, just like the one Josh and I have cultivated through our work together.

People: Your Offshore Team

Through SUMO, Australian companies can access a pool of highly trained and dedicated VAs who are prepared to take on various tasks and roles. SUMO’s goal is to ensure that every VA is not just another employee, but an integral part of the team. By leveraging the right people, you can focus on growth while your offshore team manages the details that keep your business running smoothly.

Process: Workflows that Work

Building the right process is essential for collaboration, and this is where Asana shines. Together with AQ, SUMO and Asana, we created customised workflows that are tailored to the unique needs of AQ. These workflows ensure clarity, accountability, and transparency, so nothing falls through the cracks. From task delegation to project completion, Asana keeps everyone on the same page—whether onshore or offshore.

Platform: Asana in Action

With its user-friendly interface, it allows teams to break down complex projects into manageable tasks, delegate responsibilities, and track progress. It offers a single platform where everyone can communicate and see real-time updates, helping avoid bottlenecks and miscommunication. The combination of our unique process setup, Asana’s platform and team roles & responsibilities has ensured that we all have the tools we need to perform at our best.
